An international banking corporation in Amsterdam is currently looking for a Dutch or Japanese speaking Office Manager to join their team.
You will work with two Office Managers with a wide variety of responsibilities covering Financial Control, Office Management, Event Organize, HR support, IT Project, and more.
The ideal candidate will have financial control experience, as well as the ability to multitask, prioritize, and display good communication skills.
Business level of Dutch or Japanese is required for this role.

TYPE: Full-time - Contract start and will become Permanent
WORKING HOURS: Monday to Friday, 9:00 -17:00
SALARY: €45,000 – €55,000

LOCATION: Amsterdam, hybrid working

Office Manager Responsibilities:

• General Financial Control tasks - manage cash flow, audit, monitor internal controls, assist in budget preparation, financial risk, compliance, and financial report
• The preparation of various inspection reports to the Planning Department
• Dealing with office expenses, related payments and funding requirements
• The reporting of expenses by completing a monthly cashbook, creating a quarterly expense/budget overview, preparing the monthly work-related cost scheme, assisting the annual budget, and checking the monthly fixed assets register
• Assisting on the quarterly VAT filing and the annual corporate tax filing
• Arranging of various maintenance service visits to the branch office
• Administration of supplier contracts, leasing contracts, onboarding suppliers in the ABCD database and related invoices
• Supporting of colleague visitors from overseas offices
• Periodic reviewing of the branch operations manual
• Supporting of various Lotus Notes modules, e.g., G&E, absence database
• Electronic filing of documents
• Assisting in KYC related activity, where necessary, and related market research
• Assistance on the relocation of expats to/from Amsterdam and arranging and maintaining of any and all permits required for expat staff in the Netherlands
• Co-organising of the annual Amsterdam Reception
• First line assistance on IT issues in the Amsterdam office, having a monthly discussion with the IT liaison and assistance on any IT related maintenance in the office and server room
• The fulfilling of the role of Health and Safety Officer (as required by law)
• Attending and contributing to weekly management meetings
• Arranging of a smooth, clean, healthy, and pleasant office environment
• Ordering of office supplies

Office Manager Ideal Candidate:
• 5 plus years’ experience in Financial Control / Office Management roles ideally within financial service industry
• Most important skills are found in the fields of communication, IT, accounting and cross culture, such as numerical, financial, empathic, being able to listen and to connect others
• Fluent in Dutch or Japanese
• High level of IT skills, such as excel, word, and power point
• Strong interpersonal skills engaging with key stakeholders at all levels
• Be a good team player willing to work with us at short notice
