An international thinktank for sustainable development and climate change is seeking an Office Manager to join their growing team and set up a new office in Rome. In this role, you will be responsible for office maintenance, HR function management, reporting to the headquarters, and communication with vendors in Italian and English.

TYPE: Permanent, full-time
WORKING HOURS: Monday to Friday, 9:00 -17:00
SALARY: €30k - 45k level, depending on experience (negotiable)
LOCATION: Central Rome, Italy (On-site)

Main Responsibilities for Office Manager:
• Handle day-to-day office operations, including coordinating office maintenance service providers, managing office supplies and equipment, and preparing documents
• General assistance with HR functions, such as onboarding new employees and maintaining personnel records
• Maintain office policies and procedures, ensuring compliance and efficiency
• Manage and handle confidential matters
• Communicate in Italian, English, and Japanese with vendors
• Arrange meetings and business trips
• Manage office expenses
• Regularly monitor the progress of projects
• Report and liaise with the headquarters in USA and other offices

Ideal Candidate for Office Manager:
• 2 years of office management experience would be bonus
• Business level proficiency in Italian, English, and Japanese is mandatory
• Able to go on business trips
• Excellent interpersonal and communication skills
• Strong organisational and planning skills
• Attention to detail and problem-solving skills
