A Japanese manufacturer is currently recruiting an HR & GA Specialist to work in their Amsterdam office in the Netherlands.
In this role, you will be a key member of the HR Operations team, responsible for supporting the design, delivery, and continuous improvement of HR policies, tools, processes, and services.
This role provides first-line HR support to managers and employees while also taking ownership of specific HR services or subject areas.
The ideal candidate should have at least 2 years of relevant international General Affairs work experience and be able to communicate in Dutch and English.
TYPE: Full-time, initially 1 year contract (There is potential for extension)
WORKING HOURS: from 8:45 until 5:30, with a 45-minute lunchbreak
SALARY: up to €65k gross depending on experience (flexible)
LOCATION: Amsterdam, Netherlands (hybrid working is allowed after probation)
HR Specialist Main Responsibilities:
● Supporting employees on a wide range of operations topics through HRM systems and providing counsel and support on policies and procedures
● Own the complete onboarding and offboarding process including people administration, verification of required documentation, and coordination with IT hardware and access for assigned locations
● Responsible for employment contracts, termination letters, transfer letters, salary change notifications, employee confirmation letters, and any other relevant addenda
● Ensure compliance with local HR laws in different countries
● Provide support in benefits related questions and enrolment and time and absence management
● Act as the technical point of contact and system administrator of HRMS, maintaining HRMS support between Hoshizaki team and employees, conducting trainings on HRMS
● Create and maintain guides and internal policies on operational processes
● Support audits when necessary for data integrity in HRMS and in Payroll
● Communicate accurate information with the payroll specialist of any pay changes before payroll cutoff
● Execute HR initiatives to ensure smooth day-to-day operations
● Serve as a key resource for employees and managers, ensuring the successful deployment of HR policies and processes. Support the development, implementation, and continuous improvement of HR policies and processes
● Facilitate key HR activities such as talent acquisition and management, engagement, learning and development, career coaching, mentoring, employee relations, and performance management
● Ensure compliance with local employment legislation and adherence to company policies
● Support the execution and management of HR policies and practices within the country, adhering to the strategic direction set by HR leadership
● Address and resolve employee relations issues within the country, conducting thorough investigations when necessary
● Provide HR policy guidance and best practice interpretation to managers and employees
● Assist by supporting succession planning, retention programs, training and leadership development
● Collaborate with Management to resolve complex employee leave matters, including policy interpretation, administration, accommodation, and employee queries and complaints
● Work cross-functionally with vendors, Benefits, Payroll to manage leave cases effectively
● Manage all data changes in HRMS, such as schedule changes, time off adjustments, org changes, etc.
● Maintain accurate employee records and ensure compliance with labour laws and company policies
● Ensure confidentiality of internal and external data
● Assist and support with General Affairs tasks
● Participate in ad-hoc projects and other duties as assigned
HR Specialist Ideal Candidate:
● Bachelor’s degree in Human Resources, Business Administration, or a related field
● 5-7 years of experience in an HR Generalist role or similar HR capacity
● Strong knowledge of HR principles, labour laws, and best practices
● Understanding of legal and regulatory requirements related to employee management
● Experience managing HR issues
● Proficiency in Microsoft Office Suite
● Experience with HRIS tools such as Moorepay
● Excellent communication and interpersonal skills
● Service management or HR experience in a call centre environment is a plus
● Master’s Degree in HRM or MBA is a plus
● HR certification (PHR, SHRM-CP, CIPD) is a plus
